Kensal Green Carpet Cleaners Health and Safety Policy

This Health and Safety Policy sets out how Kensal Green Carpet Cleaners manages health, safety and welfare across all carpet, upholstery and hard floor cleaning services. Our aim is to provide and maintain safe and healthy working conditions for our employees, subcontractors, clients and any other persons who may be affected by our activities, whether in homes, offices or commercial premises.

We are committed to complying with all relevant health and safety legislation and recognised best practice in the cleaning industry. This policy provides a framework for identifying hazards, assessing risks and implementing suitable control measures so that cleaning work is carried out safely and consistently.

Health and Safety Responsibilities

Overall responsibility for health and safety rests with the company management of Kensal Green Carpet Cleaners. Management is responsible for ensuring that this policy is implemented, monitored and reviewed on a regular basis and that adequate resources are provided for its effective operation.

Supervisors and team leaders are responsible for day-to-day implementation of this policy at job sites. They must ensure that staff are properly trained, that equipment is used correctly, that risk assessments are followed and that any incidents, near misses or hazards are reported promptly.

All employees and subcontractors have a duty to take reasonable care of their own health and safety and that of others who may be affected by their actions. They must cooperate with the company on health and safety matters, follow training and instructions, use protective equipment correctly and report any unsafe conditions immediately.

Risk Assessment and Safe Systems of Work

Kensal Green Carpet Cleaners will identify, assess and control risks associated with carpet and upholstery cleaning, spot and stain treatment, hard floor work and the use and transport of cleaning equipment and products. Where appropriate, site-specific risk assessments will be carried out before work begins, taking account of the layout of the premises, access routes, trip hazards, electrical points and any vulnerable persons present.

From these assessments, safe systems of work are developed and communicated to staff. These include procedures for safe handling of cleaning solutions, safe cable management for machines, correct lifting and moving of heavy equipment, and precautions when working in areas with limited ventilation or restricted access. Staff are expected to follow these procedures at all times and to raise any concerns if they believe a task cannot be carried out safely.

Training, Instruction and Supervision

All new employees receive an induction that includes health and safety information relevant to their role. This covers safe use of carpet cleaning machines, vacuum cleaners, extraction units and any other specialist tools used in our services. It also includes guidance on manual handling, chemical safety, personal protective equipment and emergency procedures.

Ongoing training is provided whenever new equipment, materials or working methods are introduced, or where existing procedures are updated. Supervisors monitor working practices on site to ensure that training is understood and applied correctly, providing further instruction and support where necessary.

Chemical and Product Safety

We use cleaning products that are appropriate for professional cleaning services and evaluate them for both effectiveness and safety. Safety data sheets are obtained and retained for all products. Staff are trained to read and understand product labels, hazard symbols and instructions for use, dilution and disposal.

Cleaning products are stored securely and transported safely to each job. Only authorised and trained personnel may decant or dilute concentrated products, and this must be done in suitable containers clearly labelled with the product name and relevant hazard warnings. Staff must never mix chemicals and must follow ventilation and contact time guidance for each product.

Personal Protective Equipment

Suitable personal protective equipment is provided where identified by risk assessment. This may include gloves, eye protection, masks or respirators, and protective footwear, depending on the nature of the work and the substances or equipment involved.

Employees are required to wear PPE as instructed, keep it in good condition and report any damage or defects immediately so it can be replaced. PPE is not a substitute for safe systems of work and is used alongside other control measures.

Manual Handling and Use of Equipment

Carpet cleaning often involves the lifting and movement of machines, hoses and containers of solution. We aim to minimise manual handling risks by using trolleys, ramps or additional assistance where possible, planning routes in advance and avoiding unnecessary carrying over long distances or up stairs where safer alternatives exist.

All electrical equipment is maintained in good working order and inspected regularly. Damaged plugs, cables or casings must be reported immediately and the equipment taken out of service until repaired or replaced. Machines must only be used by staff who have been trained in their safe operation and in accordance with manufacturer instructions.

Working in Client Premises

Respect for client property and the safety of everyone on site is central to how we operate. Before work starts, we identify and, where possible, remove or mark potential hazards such as loose rugs, trailing cables or obstructed walkways. Warning signs are used where floors may become damp or slippery during cleaning.

We take particular care where children, elderly persons, pets or individuals with health conditions are present. Solutions and equipment are kept out of reach of children and animals, and we communicate clearly with clients about areas that should be avoided while work is in progress and during drying times.

Accidents, Incidents and Emergency Procedures

All accidents, near misses and dangerous occurrences must be reported as soon as possible to a supervisor or management. They will be recorded, investigated and, where necessary, control measures will be reviewed to prevent recurrence. First aid arrangements are in place and staff know how to access assistance when needed.

In the event of a serious incident, fire or other emergency, staff must follow the site-specific emergency procedures, including evacuation routes and assembly points where these are provided by the client. Our employees will cooperate fully with emergency services and the responsible persons for the premises.

Health, Welfare and Occupational Health

Kensal Green Carpet Cleaners recognises its duty to protect the long-term health and welfare of employees. We take steps to reduce exposure to noise, dust, chemical vapours and repetitive strain associated with cleaning activities. Staff are encouraged to report any health concerns that may be linked to their work so that appropriate adjustments or controls can be considered.

We promote good housekeeping, hygiene and regular breaks, especially during physically demanding tasks, to reduce fatigue and the risk of accidents. Drinking water and appropriate rest opportunities are made available during longer jobs.

Consultation and Continuous Improvement

We recognise that effective health and safety management requires open communication and feedback. Employees are encouraged to make suggestions for improving safety, report hazards and participate in discussions about working methods and equipment selection.

This Health and Safety Policy is reviewed regularly, and at least annually, or sooner if there are significant changes to our activities, new legislation, an incident or improvements identified through risk assessments. Updated procedures are communicated to all relevant staff and incorporated into training and supervision.

By following this policy and working together, Kensal Green Carpet Cleaners aims to provide a safe and healthy environment for our teams, our clients and all others affected by our carpet and upholstery cleaning services.
